Role Overview

The Admin Clerk / Receptionist will be responsible for the accurate handling, capturing, tracking, and distribution of laboratory samples, as well as providing professional front-desk services to patients, medical professionals, and visitors.

The role focuses on ensuring efficient sample processing, maintaining administrative accuracy, supporting laboratory workflows, and delivering high-quality customer service in a busy medical environment.


Key Responsibilities
Sample Administration & Processing
  • Sort and distribute medical samples according to standard operating procedures
  • Capture and register samples accurately on the laboratory information system
  • Monitor sample movement to ensure timely processing and reporting
  • Track courier deliveries and ensure specimens reach designated laboratories
  • Investigate delays and assist in resolving processing bottlenecks
Reporting & Documentation
  • Monitor report progress and ensure results are filed and delivered within turnaround times
  • Prepare, scan, and upload patient documentation onto the laboratory scanning system
  • Resolve scanning issues and incomplete records according to procedures
Reception & Customer Service
  • Manage the reception area and welcome patients professionally
  • Provide information and direct clients to relevant departments
  • Handle administrative queries and refer complaints for timely resolution
  • Interact ethically and professionally with healthcare workers and patients
Cash Handling & Administration
  • Receive payments from patients and process transactions accurately
  • Ensure daily banking in line with company policies
  • Log incidents, complaints, and administrative actions on the management system
Stock Control & Housekeeping
  • Monitor stock levels and place orders when required
  • Ensure supplies are delivered to doctors’ rooms and service areas
  • Maintain cleanliness and organisation in the work area
  • Prepare and clean equipment according to procedures
Compliance & Professional Standards
  • Adhere to organisational policies, confidentiality requirements, and uniform protocols
  • Maintain accuracy, integrity, and ethical conduct in all tasks
  • Support quality and service objectives across laboratory operations

Minimum Requirements
Qualifications
  • Grade 12 (Matric) or relevant NQF Level 4 qualification – Required
  • Bachelor of Science (BSc) degree – Advantageous
Experience
  • 0 to 1 year of relevant administrative or healthcare support experience
Knowledge & Systems
  • Basic computer literacy
  • Familiarity with laboratory information systems (advantageous)
  • Understanding of organisational policies and procedures
