Position Objective
The Receptionist will act as the first point of contact for SANRAL visitors and callers. The role involves managing the front desk, handling switchboard operations, and ensuring a professional, welcoming atmosphere. The successful candidate will also provide general administrative support to assist the Provincial Head and Facilities Manager.
Minimum Requirements
- Education: National Senior Certificate (Grade 12).
- Added Advantage: Post-matric qualification in Office Administration, Communication, or related field.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of switchboard systems and general office equipment such as copiers and printers.
- Interpersonal Skills: Strong communication, customer service, and organisational skills.
- Other Requirements: Ability to work professionally with people at all levels of the organisation.
Key Responsibilities
- Front Desk Management
- Greet and welcome visitors in a friendly and professional manner.
- Determine the purpose of visits and direct guests appropriately.
- Liaise with security personnel to manage visitor logs and issue access badges.
- Keep the reception area tidy, presentable, and stocked with stationery or brochures.
- Switchboard and Communication
- Answer incoming calls promptly and direct them to the correct departments.
- Take and relay messages accurately.
- Maintain and update the telephone directory.
- Ensure voicemail and missed calls are attended to timeously.
- Administrative Support
- Receive, sort, and distribute mail and courier packages.
- Maintain a diary of boardroom bookings and assist with meeting arrangements.
- Provide administrative assistance for meetings, including minute-taking and stationery stock control.
- Support the coordination of travel and logistics for unallocated staff when required.
- Safety and Compliance
- Participate in OHS (Occupational Health and Safety) activities, including emergency evacuation procedures.
- Report any suspicious activity or packages to management or security immediately.
- Customer Service Excellence
- Deliver outstanding customer service to both internal and external stakeholders.
- Represent SANRAL’s values of professionalism, integrity, and service excellence at all times.
