About the Role

The primary purpose of this position is to contribute to the efficient and effective operation of the branch. As a Customer Service Agent, you will be responsible for handling customer rental transactions, supporting reservations, maintaining high service standards, and ensuring compliance with company quality management procedures. The role requires attention to detail, strong organisational ability, and a commitment to maintaining the quality and security of company assets.

This is a customer-facing position, and the successful candidate will interact with local and international clients. You will be involved in a wide range of activities, from managing bookings to ensuring vehicles meet quality standards before and after rentals. The environment is dynamic and at times demanding, so flexibility and resilience are key.


Key Responsibilities
Customer Interaction and Rental Processing
  • Manage all aspects of the vehicle rental process, including check-out and check-in procedures.

  • Ensure rental transactions comply with company standards and quality processes.

  • Provide friendly, professional, and efficient service to all customers, both face-to-face and over the phone.

  • Assist customers with queries, ensuring clear communication and positive customer experiences.

Reservations and Administration
  • Make, amend, cancel, and monitor reservations as required.

  • Complete essential administrative tasks such as fuel capturing, fleet movement updates, scanning, rental deposit processing, and partial billing.

  • Follow up on overdue rentals in a timely and professional manner.

  • Handle lost property items according to company guidelines, ensuring all items are logged and recorded accurately.

Vehicle Quality and Security
  • Support the branch in maintaining high vehicle quality standards.

  • Conduct visual checks for expired licenses, upcoming services, and any issues relating to cleanliness or damage.

  • Help ensure that all company property and vehicles are handled responsibly and securely.

Branch Support and Housekeeping
  • Maintain the cleanliness and organisation of the branch environment.

  • Assist with general office duties as required.

  • Provide support during busy periods, demonstrating teamwork and a willingness to adapt to changing operational needs.


Minimum Requirements
  • Education: NQF Level 4 (Matric or equivalent).

  • Driver’s Licence: Valid Code 8 licence with a minimum of one year’s driving experience.

  • Computer Literacy: Basic proficiency in computer systems and office software.

  • Availability: Willingness to work shifts, weekends, public holidays, and overtime when required.
