About the Role
As an Appointment Setter, you will be responsible for communicating with prospective and existing patients through outbound calls and approved communication channels. Your main goal will be to build rapport, understand the caller’s needs, qualify suitable opportunities and accurately schedule appointments.
This is not simply a role where you read from a script. The organisation is looking for someone with strong live-thinking abilities who can respond naturally to conversations, ask strategic questions and guide calls towards an appropriate outcome.
You will need to handle objections confidently and professionally, particularly when speaking to price-focused callers. Rather than simply providing numbers or ending the conversation, you will be expected to identify the caller’s needs and communicate the value of booking an appointment.
Because the role operates within a healthcare environment, protecting patient information is extremely important. Successful candidates must understand and follow strict requirements relating to confidentiality, patient privacy, data protection and information security.
Key Responsibilities
Your responsibilities will include:
- Making outbound calls to prospective and existing patients.
- Building rapport quickly and communicating professionally.
- Identifying and qualifying prospective patients according to established criteria.
- Booking appointments accurately and efficiently.
- Following up with leads through calls, messages and other approved channels.
- Maintaining accurate patient and lead records.
- Updating the relevant CRM and other systems.

- Asking strategic questions to guide conversations.
- Connecting unanswered questions to value-driven reasons for booking an appointment.
- Taking control of calls while remaining professional and helpful.
- Correctly identifying and triaging urgent or emergency calls.
- Protecting sensitive patient information at all times.
- Following all patient privacy, confidentiality and data security policies.
Skills and Experience Required
Candidates should ideally have previous experience in one or more of the following areas:
- Appointment setting.
- Telemarketing.
- Inside sales.

- Customer service.
- A similar phone-based sales or communication role.
Applicants must have excellent spoken and written English and be confident communicating with people over the phone.
