The HR Assistant will provide day-to-day administrative support to the Human Resources function. The position involves recruitment administration, onboarding, employee records, HR systems, industrial relations support, reporting and other HR-related activities.

The successful candidate should be comfortable dealing with confidential employee information, communicating with applicants and employees, keeping records accurate and ensuring that administrative processes are completed on time.

Key Responsibilities

Recruitment and Selection

The HR Assistant will support recruitment activities and help ensure that vacancies are processed efficiently.

Responsibilities include:

  • Sourcing and shortlisting applicants for selected vacancies.
  • Scheduling interviews for the Human Resources Consultant and management.
  • Ensuring applicants submit all required documentation on time.
  • Conducting pre-employment checks and reference checks for selected candidates.
  • Ensuring new employee information and documentation is accurately submitted to Payroll before the monthly cut-off.
  • Assisting with general recruitment administration.

Strong organisation and communication skills will be important when coordinating candidates, interviews and documentation.

Onboarding and Induction

The successful candidate will assist with bringing new team members into the organisation.

This includes:

  • Liaising with Area Managers and Training Facilitators regarding training dates.
  • Assisting with new employee induction.
  • Providing orientation information packs.
  • Reviewing relevant company policies with new team members.
  • Gathering required payroll information.
  • Explaining benefit funds and obtaining the necessary signatures.
  • Ensuring onboarding documentation is completed and maintained correctly.

The role requires someone who can make new employees feel welcomed while ensuring that all administrative requirements are properly completed.

Terminations

The HR Assistant will also provide administrative support during employee termination processes.

Responsibilities include:

  • Ensuring relevant parties are informed of terminations timeously.
  • Consolidating weekly termination updates.
  • Maintaining accurate records relating to employee movements.

Confidentiality, professionalism and attention to detail are particularly important when dealing with sensitive employee information.

Industrial Relations Support

The successful candidate will assist with various Industrial Relations administrative activities.

This includes:

  • Assisting with the tracking of IR actions.
  • Ensuring signed warnings are uploaded onto the relevant system on time.
  • Maintaining accurate records.
  • Providing administrative assistance where required.

HR Systems and Records

Maintaining accurate employee information is a key part of the role.

The HR Assistant will be responsible for transactional HR administration, including:

  • Filing.
  • Data capturing.
  • Updating employee records.
  • Maintaining team member files.
  • Conducting regular employee file audits.
  • Supporting the maintenance of HRIS and ESS information.
  • Ensuring records are accurate and up to date.

Good computer literacy and attention to detail are therefore essential.

Reporting and Ad Hoc Duties

The successful candidate may also be required to assist with HR reports and other administrative requirements.

This can include:

  • Preparing ad hoc reports.
  • Gathering and maintaining HR information.
  • Assisting HR team members with administrative tasks.
  • Supporting the day-to-day operation of the Human Resources function.

The ability to manage changing priorities and complete tasks within required deadlines will be valuable.

Minimum Requirements

Applicants should have:

  • A completed or currently studied relevant Diploma or Degree qualification.
  • Knowledge of relevant labour legislation, including:
    • Employment Equity Act (EE Act)
    • Basic Conditions of Employment Act (BCEA)
    • Labour Relations Act

Advantageous

The following would be beneficial:

  • A valid driver’s licence.
  • 2–3 years’ report-writing experience.
