Job Overview

Shoprite is looking for a Fleet Administrator to join its team in Gqeberha, Eastern Cape. The role is suited to an experienced administrative professional who is organised, detail-oriented and comfortable working with vehicle-related processes, records, systems and stakeholders.

The Fleet Administrator will support the effective management and administration of the company’s vehicle fleet. This includes coordinating fleet-related processes, maintaining accurate records, handling queries and providing administrative support to ensure fleet operations run efficiently and in accordance with company policies and business requirements.

The successful candidate will work across several areas of fleet administration, including vehicle leases, pool vehicles, vehicle disposals, reporting, fleet systems and general administrative support.

This is a full-time opportunity for someone with a strong administrative background and experience in a car rental environment.

Key Responsibilities

Fleet Communication and Queries

The Fleet Administrator will act as a key point of contact for internal fleet-related enquiries.

Responsibilities include:

  • Handling enquiries relating to vehicle orders.
  • Assisting with fuel card decline queries.
  • Following up on vehicle maintenance updates.
  • Communicating fleet-related information to relevant stakeholders.
  • Ensuring queries are handled efficiently and professionally.

Strong communication skills will be important, as the role requires regular interaction with different internal stakeholders.

Pool Vehicle Management

The successful candidate will assist with the administration and management of pool vehicles.

This includes:

  • Managing and issuing pool vehicles.
  • Ensuring vehicles are available when required.
  • Supporting the appropriate utilisation of pool vehicles.
  • Maintaining accurate records relating to vehicle usage.
  • Following the required company processes and procedures.

Good organisation and attention to detail will be essential when managing vehicle availability.

Vehicle Disposal

The role will also involve overseeing the administration of the disposal process for Shoprite-owned vehicles.

The Fleet Administrator will ensure that relevant processes and documentation are completed in accordance with company policies and procedures.

This requires careful record keeping and the ability to coordinate multiple steps within the disposal process.

Vehicle Lease Management

The Fleet Administrator will manage administrative processes relating to vehicle lease agreements.

Responsibilities include:

  • Managing lease renewals.
  • Processing lease terminations.
  • Maintaining relevant documentation.
  • Keeping lease information accurate and up to date.
  • Following up on outstanding fleet requirements.

Previous experience working with vehicle-related documentation will be beneficial in this area.

Reporting

Accurate reporting is another important responsibility within the role.

The successful candidate will prepare monthly fleet-related reports for divisions, ensuring that information is accurate, complete and provided within the required timeframes.

Strong attention to detail and the ability to work with information accurately will therefore be essential.

Fleet Projects and Systems

The Fleet Administrator will also provide assistance with fleet-related projects.

This may include:

  • Supporting new fleet system setups.
  • Assisting with training on new systems.
  • Helping users understand relevant processes.
  • Supporting improvements to fleet administration.
  • Maintaining accurate information across fleet systems.

General Administrative Support

The successful candidate will provide general administrative support to the Fleet Admin Manager and other members of the fleet team.

Duties may include:

  • Maintaining records.
  • Capturing information.
  • Preparing reports.
  • Managing documentation.
  • Responding to fleet-related queries.
  • Assisting with administrative projects.
  • Supporting the team with additional fleet administration requirements.

The ability to prioritise tasks and manage deadlines will be important.

Minimum Requirements

Applicants must have:

  • Grade 12 / National Senior Certificate – Essential.
  • Minimum 2 years’ experience in an administrative role – Essential.
  • Experience in a car rental environment – Essential.
  • Strong administrative skills.
  • Excellent attention to detail.
  • Good communication skills.
  • Ability to work effectively within a team.
  • Ability to manage multiple tasks and deadlines.

Computer Skills

Strong Microsoft Office skills are required for this position.

Candidates must have advanced proficiency in Microsoft Excel and PowerPoint.

The successful candidate should be comfortable using Excel to work with information and reports and PowerPoint for presentations or other business-related requirements.

Being comfortable with fleet systems and learning new technology will also be advantageous.
