Job Overview

eThekwini Metropolitan Municipality is looking for an Administrator to join its Water and Sanitation Directorate, within the Auxiliary Services Division in Durban.

The Administrator will provide a broad administrative and support function to the branch and its management team. The role combines general administration, financial administration, reporting, database management, educational programme support, public relations activities and customer-facing responsibilities.

The successful candidate will be required to manage correspondence and records, handle telephone enquiries, take meeting minutes, maintain databases and provide administrative assistance to the Manager and staff. The position also supports the municipality’s education programme by helping coordinate educational tours, promoting programmes to schools and community organisations and compiling monthly progress reports.

This role would suit an organised and detail-oriented administrator who is confident working with people, comfortable using technology and able to manage several administrative responsibilities while maintaining accuracy and professional standards.


Key Responsibilities

General Administration

The Administrator will perform a range of day-to-day administrative duties, including:

  • Handling telephone enquiries.
  • Taking minutes during meetings.
  • Filing correspondence and records.
  • Maintaining accurate administrative documentation.
  • Providing general administrative support to the branch.
  • Assisting the Manager and staff with administrative requirements.

The role requires strong organisational skills and attention to detail to ensure that information and records are maintained accurately.

Financial Administration

The successful candidate will provide a financial administration service to the Manager and branch staff.

This includes supporting relevant financial administration processes and ensuring that information is properly recorded and managed in line with applicable procedures.

Education Programme Support

The position supports the delivery and promotion of the municipality’s education programme.

Responsibilities include:

  • Compiling monthly progress reports on the education programme.
  • Promoting the education programme to schools.
  • Promoting the programme to community organisations.
  • Supporting communication around educational initiatives.
  • Providing a booking service for educational tours to the Treatment Works.

The Administrator will therefore interact with schools, community organisations and other stakeholders as part of the programme.

Public Relations Support

The Administrator will assist with the planning, organisation and coordination of public relations activities.

This includes:

  • Assisting with public relations initiatives.
  • Supporting the coordination of activities.
  • Assisting with the management of education and public relations materials.
  • Performing tasks related to the administration of these materials.
  • Supporting the branch’s communication activities.

Database and Complaint Administration

The Administrator will assist the Branch Manager with maintaining information relating to complaints and enquiries.

This includes:

  • Maintaining a database of complaints received from Councillors.
  • Recording complaints received from members of the public.
  • Keeping information updated and organised.
  • Providing administrative support relating to complaints and enquiries.

Accuracy and confidentiality will be important when handling this information.


Minimum Requirements

Applicants must have:

  • Grade 12/NQF Level 4 or equivalent.
  • A certificate in the Administrative field.
  • 3 years of relevant experience.
  • A valid motor vehicle driver’s licence.
  • Computer literacy.

Preferred Requirements

The following would be advantageous:

  • Diploma/NQF Level 6 in the Administration field.
  • 4 years of relevant experience.

Experience in administration, together with a relevant administrative qualification and valid driver’s licence, will be important for this position.
