Job Overview

Feltex is seeking a highly organised and professional Office Administrator to provide comprehensive administrative and secretarial support to the Trim Business Unit at its head office in Durban, KwaZulu-Natal.

The successful candidate will play an important role in ensuring the smooth and efficient operation of the business unit by supporting management, coordinating office activities, maintaining accurate records, managing documentation, arranging meetings and travel, and assisting with various administrative and finance-related processes.

This position requires someone who is detail-oriented, reliable, professional and capable of managing multiple responsibilities while maintaining a high standard of accuracy and confidentiality.

The Office Administrator will work closely with the Executive Manager, Business Unit management team and various internal and external stakeholders. The role requires strong organisational and communication skills, as well as the ability to prioritise tasks and meet deadlines in a busy manufacturing environment.

Minimum Requirements

Applicants must meet the following requirements:

  • Matric / Grade 12 Certificate.
  • Diploma in Business Administration, Office Administration, Secretarial Studies or a related field.
  • 3–5 years’ experience in an administrative or office support role within a manufacturing environment.
  • Finance administration experience.

Candidates should have a strong understanding of general office administration and be comfortable handling confidential information, preparing documents, maintaining records and supporting management.

Experience within a manufacturing environment is specifically required, making previous exposure to a production or industrial business environment highly relevant.

Executive Manager Support

A key responsibility of the role will be providing administrative and secretarial support to the Executive Manager.

The successful candidate will:

  • Manage and maintain the Executive Manager’s calendar, appointments and meeting schedules.
  • Assist the Executive Manager with compiling plant reports into a consolidated document to support alignment of plant activities.
  • Prepare routine correspondence, reports, presentations and meeting documentation.
  • Coordinate meetings and arrange flights, accommodation, venues and catering where required.
  • Take minutes during selected meetings.
  • Distribute meeting action items to relevant stakeholders.
  • Follow up on outstanding actions and commitments.

The administrator will therefore need excellent organisational skills and the ability to keep track of multiple schedules, deadlines and follow-up activities.

Business Unit Administration

The Office Administrator will provide general administrative support to the Trim Business Unit management team.

Responsibilities include:

  • Assisting with the compilation of weekly and monthly reports.
  • Supporting departmental communication and document distribution.
  • Ensuring administrative processes comply with company policies and procedures.
  • Providing general administrative assistance to management and the broader business unit.

Accuracy will be particularly important when compiling reports and maintaining business documentation.

Travel and Logistics

The successful candidate will also coordinate travel and logistical arrangements for the Executive Manager and employees where required.

This includes:

  • Arranging local travel.
  • Booking accommodation.
  • Organising vehicle hire.
  • Coordinating transfers.
  • Preparing travel requisitions.
  • Assisting with travel expense claims.
  • Coordinating visitor arrangements.
  • Managing meeting logistics.

The role requires strong attention to detail to ensure travel and meeting arrangements are completed accurately and on time.

Office Administration

The Office Administrator will help maintain an organised, professional and functional office environment.

Responsibilities include:

  • Ordering and monitoring office stationery and consumable stock.
  • Coordinating maintenance requests and office service requirements.
  • Managing boardroom bookings.
  • Ensuring meeting facilities are prepared.
  • Supporting departmental events, workshops, conferences and team functions.
  • Maintaining business unit filing systems.
  • Maintaining accurate administrative records.

The administrator will serve as an important point of coordination for the day-to-day administrative requirements of the business unit.

Data and Document Management

The role also involves maintaining accurate business information and documentation.

The successful candidate will:

  • Capture, update and maintain departmental records and databases.
  • Ensure business information is accurate and confidential.
  • Monitor document retention and archiving requirements.
  • Assist with preparing and distributing reports, presentations and operational documents.

Strong attention to detail and good document management practices will be essential.

Communication and Stakeholder Support

The Office Administrator will act as a first point of contact for internal and external stakeholders visiting or contacting the Business Unit.

Responsibilities include:

  • Providing professional communication to stakeholders.
  • Responding to enquiries in a timely manner.
  • Liaising with internal departments.
  • Supporting effective communication across the Business Unit.
  • Facilitating smooth administrative processes between departments.
