Job Overview

RCL Foods is seeking a motivated, organised, and people-focused HR Administrator to join its Human Resources team in Pietermaritzburg. The successful candidate will provide day-to-day administrative support to the HR department while assisting with payroll administration, employee records, time and attendance management, and various HR-related activities.

This role requires someone who enjoys working with people and can communicate effectively with employees at all levels of the organisation. You will regularly engage with staff, handle confidential employee information, and assist with sensitive workplace matters in a professional and respectful manner. The successful candidate should be approachable, open-minded, and capable of maintaining confidentiality while supporting both employees and management.

A major part of the position involves managing the company’s Time and Attendance system. You will be responsible for loading new employees onto the system, removing terminated employees, updating leave records, recording absenteeism, training hours, and Injury on Duty (IOD) information, while ensuring attendance records remain accurate before payroll processing each month.

Payroll administration is another key responsibility. You will assist in ensuring payroll is processed accurately and on time while supporting various HR administrative functions that contribute to the efficient running of the department. Accuracy and attention to detail are essential, as payroll information directly affects employees throughout the organisation.

The HR Administrator will also prepare termination documentation, complete maternity leave forms, maintain employee files, update HR records, and compile monthly HR statistics, including employee engagements, terminations, and absenteeism reports. In addition, you will coordinate administrative activities relating to union meetings, Employment Equity (EE) meetings, and Provident Fund documentation.

Successful candidates should have a good understanding of South African labour legislation, including the Basic Conditions of Employment Act (BCEA), Labour Relations Act (LRA), industrial relations, employee relations, and general CCMA processes. Knowledge of payroll systems, HR administration, and time management systems such as Trac-Tec will be advantageous.

Candidates should also possess excellent computer skills, particularly in Microsoft Excel, and be willing to assist in other areas of the business when operationally required.

Minimum Requirements

Applicants must meet the following requirements:

Essential Qualifications

  • Grade 12 (Matric) or NQF Level 4, 5, or 6.
  • Valid driver’s licence.

Advantageous Qualifications

  • Diploma in Human Resources.

Experience

  • Minimum of 2 years’ experience as an HR Administrator or Payroll Clerk.
  • Manufacturing industry experience will be advantageous.

Knowledge and Skills

  • Good computer literacy, particularly Microsoft Excel.
  • General knowledge of:
    • Payroll administration.
    • Industrial Relations (IR).
    • Employee Relations (ER).
    • CCMA processes.
    • Basic Conditions of Employment Act (BCEA).
    • Labour Relations Act (LRA).
  • Experience using the Trac-Tec Clocking System will be advantageous.
  • Ability to speak isiZulu will be advantageous.

Key Responsibilities

Time and Attendance

  • Load new employees onto the Time and Attendance system.
  • Remove terminated employees from the system.
  • Update leave records, absenteeism, training hours, and Injury on Duty (IOD) information.
  • Ensure monthly timesheets are approved before payroll deadlines.
  • Log system issues with the control desk when required.

Payroll Administration

  • Assist with accurate and timely payroll processing.
  • Support payroll-related HR administration.

Human Resources Administration

  • Prepare employee termination documentation.
  • Complete maternity leave documentation.
  • Maintain accurate employee filing systems.
  • Compile monthly HR reports and statistics.
  • Update union membership records.
  • Arrange union and Employment Equity meetings.
  • Process Provident Fund documentation.
  • Add new employees to the relevant HR systems.
  • Provide general administrative support to the HR Manager.
  • Assist other departments when operationally required.
