Key Responsibilities

Guest Check In and Check Out

The Receptionist will be responsible for assisting guests throughout the arrival and departure process.

Duties include:

  • Welcoming guests in a professional and friendly manner.
  • Completing guest check-in procedures accurately.
  • Processing guest check-outs efficiently.
  • Ensuring guest information is captured correctly.
  • Providing guests with relevant information about hotel services and facilities.
  • Assisting guests with questions or concerns during their stay.

The successful candidate must provide excellent customer service while ensuring that all procedures are followed correctly.

Guest Account Management

The Receptionist will assist with managing guest accounts and processing transactions throughout the guest’s stay.

Responsibilities include:

  • Maintaining accurate guest account information.
  • Processing payments and transactions.
  • Ensuring all charges and records are correctly updated.
  • Handling guest account queries professionally.
  • Maintaining confidentiality when dealing with guest information.

Guest Assistance and Problem Solving

A major part of the role involves responding to guest needs and ensuring that concerns are handled effectively.

Responsibilities include:

  • Assisting guests with special requests and requirements.

  • Remaining calm and professional during challenging situations.

Reservations Support

The Receptionist will assist guests with reservation-related requirements when needed.

Duties include:

  • Assisting with guest bookings and reservations.
  • Providing information regarding availability and hotel services.
  • Ensuring reservation details are accurately recorded.
  • Supporting the overall reservations process.

Minimum Requirements

Applicants should meet the following requirements:

  • Matric qualification.
  • Hospitality qualification or similar qualification will be advantageous.
  • 1–2 years’ experience working as a Receptionist.
  • Strong computer literacy skills.
  • Experience using Microsoft Office applications.
  • Experience with a Property Management System (PMS), preferably Protel.
  • Ability to work shifts.
  • Strong written and verbal communication skills.

Previous experience within the hospitality industry will be beneficial, especially in a front-office or guest-facing role.
