JOB TITLE: Admin Intern
LOCATION: Johannesburg
DURATION: 12 Months
Purpose of the Position
Seeking a highly organized and versatile Multi-Department Intern Administrator to provide comprehensive administrative support across multiple departments. The ideal candidate will be an all-rounder, capable of efficiently handling various administrative tasks to ensure smooth day-to-day operations. This role also requires occasional reception coverage, so professionalism and a presentable appearance is essential.
Minimum Requirements
• Grade 12/Matric
• Experience in an administrative role is an advantage.
• Diploma / Degree in Administration or Office Management
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to work in a team.
• Proper time management and ability to work under pressure and preparedness to work overtime, when required.
• Able to work and thrive in a high-stress and fast-paced environment.
Core Responsibilities
• Administrative Department Support:
• Provide administrative support to multiple departments as required.
• Data Entry and Management – Input and maintain data in databases, spreadsheets, and other systems such as Share drive to ensure accurate record-keeping.
• Assist in preparing reports, presentations, and correspondence
• Schedule meetings, prepare agendas, and take meeting notes to ensure effective communication and follow-up.
• Conduct research and compile information to support various projects and decision-making processes.
• Maintain and update databases and records for different departments.
• Handle travel and accommodation arrangements for employees when required.
• Cover reception duties as needed, ensuring a professional and welcoming front-office presence.
• Support the planning and execution of meetings, workshops, and training sessions, ensuring all logistical aspects are handled efficiently.
• Assist in scheduling and tracking routine maintenance tasks, repairs, and inspections to ensure facilities are in optimal condition.
• Participate in regular inspections of premises, including areas such as cleaning, lighting, and assisting in resolving issues.
• Help maintain an inventory of equipment, supplies, and facility-related assets, ensuring proper storage, organization, and reordering when necessary
• Support the maintenance of a tidy, efficient, and welcoming office environment.
Location Scouting – assist in researching and evaluating potential new office locations when the need arises, ensuring that any new space meets the company’s operational requirements.
